The Position

 

We are searching for a professional and creative Office Manager/Executive Assistant to support our Scottsdale office and Global organization:

 

  • A dedicated office management professional with experience handling a wide range of administrative, technical and executive support tasks
  • To directly support the executive leadership team, including Sales, Professional Services and Business Development
  • One who excels at resolving corporate challenges by applying innovative solutions, systems and process improvements that increase efficiency, customer satisfaction and the bottom line
  • A skilled relationship builder with the proven ability to work with different personality styles
  • A professional with advanced computer skills in MS Office Suite and other applications/systems, as well as having accounting, order processing and report preparation experience

Your Responsibilities / Tasks

 

  • Provide office and customer administration, including utilizing CRM/ERP systems.
  • Assist North America Human Resources with the planning and execution of employee functions, new hire onboarding, recruitment support and VISA management as well as community service activities.
  • Assume accounting related responsibility for operational items, including monthly invoicing, order management and consulting services delivery.
  • Provide account and project level support for day-to-day operations, including order setup, quote management, order creation, timesheet management, utilization and financial reporting.
  • Provide administrative support to leadership team as required. This may include vacation oversight, assisting with travel arrangements, expense reports, filing, monthly invoicing (in coordination)
  • Oversees meeting logistics through the scheduling of attendees, booking meeting rooms, preparing meeting agenda and any other required documentation; arranging for beverages and/or meals, preparing meeting rooms, taking meeting minutes, assisting with the clean up after and anticipating conflicts and solving for scheduling issues
  • Prepares presentations, memos, correspondence, organizational charts, spreadsheets, etc., some of a highly confidential nature.
  • Organize and distribute mail, including the shipment and receiving of packages
  • Manage supply inventory and stock, while negotiating prices with current and potential vendors. 
  • Handle facilities/maintenance, while acting as point of contact for escalating items to building management facility team
  • Professionally and cheerfully assist employees by answering questions and directing them to the proper resources within SEEBURGER Inc.

 

 

Your profile

 

  • Bachelor’s degree or equivalent experience
  • 2+ years of professional experience in an administrative or operational role
  • Proficiency in MS Word, MS Excel, MS Outlook and MS Power Point
  • Excellent communication skills
  • Strong organization and time management skills required
  • Team player who can build positive relationships and maintain confidentiality
  • Previous experience in a software development organization a plus
  • Willing to work in an entrepreneurial environment with a global team and speaking German would be a plus
